Basic information about the Library is provided in the "Welcome to the Library|" booklet. However, as a new member of teaching staff, you may also find the following information about the services the Library can offer useful.

General Information
Computing Services
Joining the Library
As part of the university's Staff Induction Programme you need to visit the Library for a brief introduction to our services. If you have not already done this please contact Shirley Ward| to make an appointment.
Staff need to contact the Library Desk to make an appointment for a Staff ID card. You will need to bring proof of employment with the University. Your Staff ID card can then be made up for you while you wait. Your Staff ID card is also your Library Card. Please also ask for a Library PIN as you will need this to make reservations and renewals on the Library catalogue.

Borrowing
As a staff member you may borrow a total of 15 items at a time. The standard loan period is 3 weeks, but there are 1 week, 3 days and 1 day loans as well for material in high demand. Copies of some items can only be borrowed by part-time students. There is also material which can ONLY be used within the Library, and this includes journals, theses, textbook collection items and reference books. Loans can be renewed up to 20 times providing they have not been reserved by someone else. Renewals can be done yourself on the Library catalogue, at the Library Desk, or by telephone.
Both students and staff are required to pay fines for overdue material - this enables stock to circulate quickly amongst everyone who needs it. Fines are as follows:

Getting a Computing Account
New members of staff should fill in a form, available at the IT Support Desk in the Library, to apply for a staff account. A good time to do this would be at your Staff Introduction to the Library. You will be given your account details usually within 7 working days.
You will need to bring your Staff ID card or proof of employment with the University. This will allow you use of all University facilities including licensed software (on the bolton.ac.uk domain), printing and electronic resources such as online journals, databases and e-books. Using any computer connected to the University network you can access the internet and use e-mail worldwide.

Logging into Electronic Resources
As a member of the University of Bolton, you have access to a wide range of electronic resources such as electronic journals, full-text and abstracting and indexing databases, electronic books and reference material. You can also create an account with RefWorks, a bibliographic management tool. Most of these resources are also available off-campus.
The majority of our resources require you to log into OpenAthens. Your OpenAthens username and password are exactly the same as your Bolton network ID and password, in other words, what you would use in order to log into your PC. To access resources, follow the OpenAthens Login buttons or links that you will see on many of our pages, agree to the terms and conditions and enter your ID and password when prompted to do so. Proceed to your required resource by consulting the A to Z list of electronic resources| or the subject pages| relevant to you.
A minority of resources are not accessible using OpenAthens and require a seperate username and password. These are clearly indicated in the resource listings. Usernames and passwords are available from either your Subject Librarian| or the IT Support Desk|.
For off-campus access, some resources require you to complete a few extra steps. Instructions are available with the resource descriptors in both the A to Z list| and the subject pages|, and there is also a video tutorial| that shows which steps you need to take. In addition we are currently in the process of producing quick start guides for our resources and where these are available, a link will be added to the subject resources listings. Database User Guides for each subject are also available. Follow the subject resources| pages or alterantively access them directly by clicking here|.
Please remember that use of electronic resources is restricted to academic use only; commerical use is not permitted.

Photocopying and Printing
The photocopiers in the Library are operated by your staff ID card. Information on recharging this card can be obtained from the IT Support Desk.
All students and staff are given £2.50 print quota per semester. This can be used on any Library photocopier and printers in teaching rooms. Should you require additional print quota, please ask at the IT Support Desk.

Copyright
Under the "fair dealing" exception of the Copyright, Designs and Patents Act, copies may be made for the purpose of non-commercial research or private study up to these limits:

5% of a work

one complete chapter of a book
-
one article from a single issue of a journal
-
one short story or poem from an anthology (maximum 10 pages)
Copying for commercial purposes is excluded from the fair-dealing exception.

If you or one of your students require additional learning support due to a hearing or visual impairment etc, please contact Trevor Hodgson|. Appropriate facilities will be arranged where possible, but please give as much notice as possible.

Subject Librarians
You have a designated Subject Librarian| who is responsible for all bookstock and budget decisions within your subject area and for liaison with teaching staff on general Library matters. This person will be your main point of contact with the Library and will try to make sure that the Library has all the resources you recommend to your students, in appropriate quantities and loan categories. He or she will also attend Course Committee Meetings and other subject related meetings as appropriate.
Please let your Subject Librarian know of any developments in your courses, new areas you will be teaching etc., and let them have your reading lists well in advance so new material or extra copies can be ordered in good time.

Ordering Library Material
Books
The Subject Librarian will try to keep up with new material published within your field, new editions of standard works etc., and generally try to make sure that there is a balanced stock to meet the needs of the students, but it is important that you suggest titles too!
Order cards are available from the Library Desk or your Subject Librarian. Please complete a card for each title you wish to recommend. If you prefer, you may email order requests directly to your Subject Librarian. They will notify you if the item you require is out of print or likely to be difficult to obtain.
The financial year runs from 1st August and there are limited budgets for each subject area so please try to order as early as possible.
Any material needed for Semester 1 should be ordered in the preceding financial year to ensure there is time to get it on the shelves.
When ordering books please consult your Subject Librarian| as to the most appropriate loan categories so that the stock can be used as effectively as possible.
If you require books for your own research, that is, material not related to your teaching, please negotiate with the University Research Office for funding, including a recharge code, as the Library core bookfund can only be spent on material directly relevant to taught courses. The Acquisitions staff will be happy to place the actual orders for you and discounts are usually available. Contact Christine Smith| for more details.
Journals
Subject Librarians will consider recommendations for new journal subscriptions and cancellations in consultation with subject teaching staff. Journal costs are very high and are met from the same subject budgets as book orders so it is important to monitor current subscriptions in your field and make sure current needs are reflected in a cost effective way.
Electronic Resources
We are always keen to improve our electronic collections to best suit need and welcome suggestions for further inclusions. Please consult with your Subject Librarian| in the first instance, who will then forward your request to the Electronic Resources Librarian. Please note, however, that while we do appreciate your suggestions, electronic resources are costly, and these costs have to be met from the journals and book budget.
The Library also undertakes trials of electronic resources. Some of these trials are free; others may need to be paid for. If there is a resource you are particularly interested in trialling, please contact your Subject Librarian or the Electronic Resources Librarian. Trials are publicised in the All-Staff Weekly Bulletin.

Reading Lists
It is vital that you liaise with your Subject Librarian| when producing reading lists so that he or she can:

Check that the number of copies held by the Library is adequate, and order more copies if appropriate.

Arrange for recommended texts to be placed as Textbook Collection for use in the Library only or, if they are irreplaceable, behind the Library Desk in the Desk Reference Collection.

Order items that are not in stock.
Check the accuracy of references where necessary (It is helpful if you can cite references in their fullest forms, ideally following the guidelines in the Library booklets)

Please remember that it can take some time to get new items onto the Library shelves, so it is important to let the Subject Librarian have copies of your reading lists well in advance of the course start date. This is especially important for new courses.
Please make sure that you include details of the course name, start date, duration and the expected number of students. It is also helpful if you indicate whether a text is essential or background reading.

Univeristy of Bolton Library Catalogue
Our Library catalogue| is a web-based system which we hope is easy to use and intuitive. Students and Staff reporting any problems using it can come and see us in the Library or email the Library Desk|. User guides are available in the Library.
You can use the catalogue to:

check details of books and other items in stock such as pamphlets, videos, dissertations and conference proceedings.

check details of journals and newspapers in stock.

make reservations, renew items and check the dates they are due. To do this you will need to obtain a separate Library PIN. Please contact the Library Desk in order to use this service. You can change this PIN anytime yourself.

University of Bolton Institutional Repository
The University of Bolton Institutional Repository (UBIR) is an open access repository that aims to capture, store and preserve the intellectual output of the University of Bolton. It was established in 2007; further information about the original JISC project is available here|. It is a university-wide, library-led service.
New submissions for UBIR are welcomed from staff at the University. As the aim of UBIR is to create a full, up-to-date picture of research at the university, these could include journal articles, book chapters, conference papers, software, presentations and photographs.
The Author FAQs for UBIR provide further information on submission, as well as information on how to go about depositing material to the repository.
Items in the repository are indexed by Google and Google Scholar.

Duncan Allison is the Procurement Officer and has university-wide responsibility for purchasing computer hardware and software and facilitates the various schemes for student software purchases.
